POSITION OVERVIEW
In conjunction with the Director of Human Resources and Chief Financial Officer, the Employee Benefits Coordinator will work with third party administrators for the timely and efficient coordination of the employee benefit programs sponsored by the Diocese of Oakland, including Diocesan health plans, lay employee retirement plan and life insurance, short/long term disability, flex benefit plan, workers’ compensation insurance, unemployment insurance, and priest retirement. Additionally, this position will coordinate medical leave with federal state-sponsored programs such as state disability insurance, FMLA, CFRA, PFL, and others. The Employee Benefits Coordinator will collaborate with the Department of Clergy Services for Medicare and long-term care for clergy.
ESSENTIAL FUNCTIONS
Provide training and individual meetings with bookkeepers, pastors, and site administrators as needed, including whenever there is a change in site administrator.
Provide new hire orientations and one-on-one meetings with Chancery employees and clergy, as needed.
Coordinate open enrollments for benefits with all Diocesan sites.
Act as liaison for all Diocesan sites with workers’ compensation (Athens), unemployment (Equifax), life insurance (A.J. Gallagher), Benefit Allocation Systems (BAS), pension services (Nicolay), 403b (The Standard), flex benefits administration (BAS), The RETA Trust and COBRA (BAS).
Maintain all records, physical and electronic, for benefits programs and participants.
Provide information and assistance to sites and individual employees on medical leave and coordination of benefits (i.e., SDI, PFL, FMLA, CFRA, etc.)
Prepare reports relating to benefits as necessary.
In conjunction with HR Director and the CFO, collaborate to establish premium rates for health, dental/vision, and unemployment plans.
Research new insurance and employee benefits programs through RETA.
Work with HR Director and the CFO to correct site violations regarding employee benefits.
Together with HR Director, coordinate bi-annual HR/benefits workshops.
Attend quarterly meetings with Athens regarding workers’ compensation insurance claims.
Attend benefits training meetings and seminars as needed.
Serve on the Benefits Committee.
Other duties as assigned.
Benefits Responsibilities for Clergy
Enroll eligible clergy in health benefits.
Update clergy transfers between parishes.
Assist with clergy retirement in coordination with Department of Clergy Services.
Monitor benefits for clergy who are on personal or medical leave of absence.
Bookkeeping Responsibilities
Monitor billing and approval for Diocesan health plans, workers’ compensation, unemployment, short/long term disability.
Invoice annually for clergy long-term care and SERP.
Confidential health plan billing for clergy, as needed.
Effect collection of delinquent or outstanding invoices.
Manage Kaiser reimbursement for retired clergy, and review retired clergy bill from Blue Cross, and forward to Finance for payment.
QUALIFICATIONS, SKILLS, AND ABILITIES
Knowledge and understanding of the Roman Catholic Church and respect for its Catholic values.
Excellent written and oral communication, and customer service skills with the ability to interact well and professionally with a diverse population.
Understanding and strong respect for confidentiality.
Bachelor’s degree in related field, or equivalent work experience.
Experience with employee benefits coordination, workers’ compensation insurance, and medical leaves.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and other database applications.
Strong organizational and record-keeping skills and ability to multi-task.
This is a full-time, 37.5 hour per week position and includes full diocesan benefits, including health, dental/vision, sick and vacation accruals, basic life insurance, short- and long-term disability, as well as retirement contribution of 8% of salary into the Lay Employee Retirement Plan among other benefits.
